STEP 1: Download your
Billing Report from BSP Link and save it
Download your BSP Agent Billing Report from the BSP Link website (there are two per month, one for the 1st period and one for the 2nd period).
When BSP Link asks you to “Save Target As” we suggest you keep the file name as it is, but save it in a folder called C:\BSP Billings (you can of course save it in any directory that you want to).
To make a folder called C:\BSP Billings
Open Windows Explorer
Double Click on My Computer
Click on Local Disk (C:)
Select File, New, Folder, then type BSP Billings and press Enter
STEP 2: Convert Your Billing
Report into a usable data format
Once you have your BSP Billing reports saved on your hard drive go to www.travelagentsolutions.net
Type in your Username and Password
Click on GENERATE FILES under the Menu on the Left Hand Side
Click on the Browse box. This allows you to select the correct file on your computer (as you would normally do within Windows. For example, go to the folder called BSP Billings and select the correct Billing File in pdf format).
The file (and path) that you have selected will appear in the “Agent Billing Report” box.
Select the file format that you require (Billing File, Excel File or CSV File
Generate Billing File Select this if you want to import the file into your accounting package. This will return a data file in fixed width format.
Generate Excel File Select this if you want your billing document as an Excel file. You can then manipulate the data to view sub-totals, group items that you want together, or perform calculations.
Generate CSV File Select this if you want your billing document in CSV format. This format can be used by some accounting packages. It can also be used by Excel and Word, but would require some manipulation within these packages to be understandable.
When you have selected the correct file, Click Submit
You will get a message to say that the file will be e-mailed to your registered e-mail address.
Click Logoff
The data file will be e-mailed to you within a maximum of 1 hour. (You can then import it into your accounting package as you would normally do).
STEP 3: Save your file that
you receive via e-mail
When your e-mail arrives, it will come from services@travelagentsolutions.net. The attached file will look something like this: bspBFILE.20061231.7721234.txt
Right click on the attachment
Choose “Save As”
Select the folder that you wish to save the file in. (We suggest that you save it in C:\BSP Billings)
The Billing File in Billing format, Excel format, or CSV format is now ready to be used.
